Why connect them?
As long as access is separate from your administration, someone has to switch codes on and off by hand. That goes wrong: codes keep working after termination, or a tenant who has just paid faces a closed gate. An integration makes access follow automatically what happens in contracts and payments.
The rules you need
| Category | Rule | Always? |
|---|---|---|
| Contract | No access without a signed, running contract | Yes |
| Period | No access before the rental starts or after it ends | Yes, exceptions possible |
| Security | No access under a risk or manual block | Yes |
| Financial | Block on an unpaid first invoice or arrears after N days or reminders | Only when switched on |
Keeping exceptions auditable
There are always situations where you want to grant access anyway, for example a business tenant with agreed payment terms. Give such an exception an end date and a mandatory reason, and record who granted it. That way an exception stays an exception.
How it works in TheStorageControl
In TheStorageControl the door, the Access control screen and the customer portal all read the outcome of one shared decision. The contract, period and security rules always apply; an administrator switches on the financial rules with their own values. The policy is re-applied when a code is issued, on signing, on payment and refund, and daily for all open contracts. Integrations exist with Sensorberg and SC Solutions.
