The short answer
No software is the best for every operator. A facility with two hundred units and one manager has different needs from a portfolio of twenty facilities with its own finance team. What does apply to everyone: the more steps of your customer journey run on the same data, the less you retype, check and correct.
The best self-storage software is therefore the system that covers the full chain, from first booking to move-out, keeps your data open and grows with you as you add facilities. That is exactly what a self-storage ERP does. Separate tools can work fine while you are small, but every link between two tools is a place where errors creep in.
Five types of self-storage software
Anyone searching for the best self-storage software often ends up comparing apples with oranges. These are the five types of system you will come across:
| Type | What it does | Fits | Watch out |
|---|---|---|---|
| Spreadsheets and separate tools | Unit list, invoices and codes each in their own file | The first months of a small facility | Nobody sees the whole picture; errors stay invisible |
| Booking tool or widget | Online reservations on your website | Facilities focused on selling online | Contract, invoice and access still live elsewhere |
| Property management system (PMS) | Units, tenants and basic billing | One or a few facilities with a fixed team | Collections, access and reporting often via loose integrations |
| Self-storage ERP | The whole chain on one dataset, with audit log and API | Growing, multi-site and unmanned operations | Needs an implementation; pick a vendor that builds with you |
| Generic ERP | Accounting, purchasing and inventory for any industry | Large groups with their own IT department | Units, access and self-storage processes must be custom-built |
Ten criteria for the best self-storage software
Use these ten criteria as your yardstick. They are phrased so that a vendor can show them in a demo, not just promise them.
- One chain: does a website booking automatically become customer, reservation and contract, without retyping?
- Live availability: can you see each unit's status, ideally on a floor plan?
- Digital contract: does the tenant sign online, and does the contract status follow the whole lifecycle?
- Billing and payments: are payments matched to the right invoice automatically, with review when in doubt?
- Arrears: can you see the age of open amounts and send reminders in batches?
- Access: does the access code switch on and off with the contract and, if you want, with payment?
- Reporting: do you get occupancy, MRR and arrears per facility instantly, without exporting to Excel?
- Open data: can you export everything and use your data through an API or your own queries?
- Permissions and audit log: can you see who changed what, and does each staff member only get the facilities they need?
- Vendor: does the vendor build with you, and is it clear what works today and what is on the roadmap?
Which software fits which operator?
The weight of each criterion differs by type of operation. This table shows what to look at first:
| Situation | Key criteria | Why |
|---|---|---|
| Small or independent operator | One chain, online booking, payment matching | With few people, every task you can skip counts |
| Several facilities | Reporting per facility, permissions, audit log | You want to compare sites on the same figures |
| Unmanned facility | Online booking, digital signing, access follows contract | Every step has to work without a desk |
| New facility | Floor plan import, prices per size, fast go-live | You want to start right from the first tenant |
| Switching from another system | Open data, migration, dedicated contact | You want no new lock-in and no hassle for tenants |
Looking for an alternative to your current system?
Many operators are not looking for software from scratch, but for an alternative to what they have now. The reason is usually one of three: the system covers only part of the chain, the data is locked in, or the vendor no longer develops along with how you work.
So compare an alternative not only on features, but also on the switch itself. Ask which data moves over (units, tenants, running contracts, open balances, floor plans), how the figures are checked to reconcile before you switch, and whether your data stays fully exportable afterwards. A good alternative stops you from being locked in again five years from now.
Reviews and comparisons: how to read them
Reviews of self-storage software are scarce and often dated. The market is small, many operators never write reviews, and comparison sites sometimes mainly show the vendors that pay for it. Use reviews as a starting point, not as a decision.
Stronger than a review is a reference call with an operator of a similar size, and a demo in which you replay your own scenarios. Always ask about the status of what you see: does it work in production today, or is it on the roadmap?
Six scenarios to test in every demo
Ask the vendor to walk through these scenarios live. You will learn more in an hour than from ten brochures:
- A customer books a unit online in the evening. What happens up to and including the signed contract, and what does staff still need to do the next morning?
- A tenant pays part of an invoice without an invoice number. Where does that payment land?
- A tenant falls behind. When do you see it, which reminder goes out, and what happens to their access?
- A unit size is almost full. How do you change the price, and what do existing tenants notice?
- It is month-end. Show occupancy, MRR and arrears per facility, without an export.
- You want to leave. Show how to export the full dataset.
How TheStorageControl scores on these criteria
TheStorageControl is a self-storage ERP. This is how the platform relates to the ten criteria, including what is still on the roadmap:
| Criterion | In TheStorageControl |
|---|---|
| One chain | A website booking automatically becomes customer, reservation and contract |
| Live availability | Unit status on a live floor plan, in a grid or in a table |
| Digital contract | Statuses from draft to closed, with digital signing |
| Payments | Matching on invoice number or exact amount; doubt goes to review |
| Arrears | Ageing in buckets, reminder batches and a Bad Debt Control Tower |
| Access | One access decision on contract, period and (optionally) payment; live with Sensorberg and SC Solutions |
| Reporting | Portfolio dashboard with occupancy, MRR and arrears per facility |
| Open data | Full export, SQL Explorer and an open API |
| Permissions and audit log | Roles and permissions per facility; every material action in the audit log |
| Vendor | Dedicated team in Capelle aan den IJssel; integrations marked live, roadmap or on request |
